Terms of Service
Last updated: November 4, 2026
These Terms of Service ("Terms") are a legal agreement between you and Chanz Automation LLC, a Georgia limited liability company that develops and operates MyRentalMate ("MyRentalMate," "we," "us," or "our"). They govern your access to and use of our software, websites and related services (together, the "Service"). By using the Service, you agree to these Terms and to our Privacy Policy. If you do not agree, do not use the Service.
1. Definitions
- "Customer Organization" means a property management company or other business that subscribes to the Service and authorizes people to use it.
- "Authorized User" means an employee, contractor or other person a Customer Organization allows to use the Service as staff.
- "Portal User" means a resident, property owner, applicant, co-signer, guarantor or prospect who uses the Service because of their dealings with a Customer Organization.
- "Customer Data" means information submitted to or created in the Service by or for a Customer Organization, including property, lease, application, payment, accounting and maintenance records.
2. What the Service Is, and Is Not
MyRentalMate is software that helps Customer Organizations run their rental business. MyRentalMate does not own, manage, rent or list any property. We are not a party to any lease, application decision or other arrangement between a Customer Organization and a Portal User, and we do not make those decisions.
MyRentalMate is not a law firm, real estate broker, property manager, accounting firm, bank, money transmitter or consumer reporting agency. Nothing in the Service is legal, tax, accounting or financial advice.
3. Eligibility and Accounts
You must be at least 18 years old to use the Service. You are responsible for keeping your sign-in details secure and for what happens under your account. Do not share your password or sign-in links. Tell us promptly if you believe someone has used your account without permission.
Private links we send by email, such as links to an application or a lease to sign, work like a password. Do not forward them.
4. License to Use the Service
As long as you follow these Terms, MyRentalMate grants you a limited, non-exclusive, non-transferable, revocable license to use the Service: as an Authorized User, for your Customer Organization's business; as a Portal User, for your own dealings with that Customer Organization.
5. Acceptable Use
You agree that you will not:
- Use the Service in violation of any law or anyone's rights, including housing discrimination, consumer reporting, debt collection, privacy and anti-spam laws;
- Enter or view another person's Social Security number, date of birth or credit information without a lawful purpose and any required authorization;
- Enter information you know is false, or sign for anyone other than yourself;
- Try to reach records of another Customer Organization or another person;
- Copy, reverse engineer, resell or sublicense the Service, except as the law expressly permits;
- Probe or test the Service's security, get around any security measure, send malicious code, or disrupt the Service, including with excessive automated requests.
6. Customer Organization Responsibilities
Each Customer Organization alone is responsible for how it runs its business and uses the Service, including:
- Complying with the federal Fair Housing Act and state and local fair housing laws, and applying its screening criteria consistently;
- Complying with the Fair Credit Reporting Act and similar laws, including having a permissible purpose and consent for screening, providing adverse action notices, and storing and disposing of reports properly;
- Complying with landlord-tenant law, including rules on notices, late fees, security deposits, application fees, evictions and move-out accounting;
- Complying with real estate licensing and trust accounting rules, and with its agreements with property owners;
- Complying with debt collection and communication laws when it contacts residents or former residents;
- Having the right to enter Customer Data, and giving any notices and getting any consents the law requires.
7. Templates, Automated Calculations and Reports
The Service may offer starter leases, consent wording, adverse action notices, late notices and other documents, and may calculate rent, late fees, screening comparisons, owner statements and financial reports. These are tools and starting points. They may not fit your state, property or situation, and the law changes. A Customer Organization must have them reviewed by its own attorney or accountant as appropriate, must check the results, and is responsible for what it sends and decides. A comparison of an applicant against criteria is not a decision: people at the Customer Organization make decisions.
8. Electronic Signatures and Records
Where the Service offers electronic signing, you agree that your electronic signature and the electronic delivery of documents have the same effect as on paper, as the federal ESIGN Act and state electronic transaction laws allow. The Service records details about each signature, such as the time, IP address, device information and a fingerprint of the document. Some documents or states may require something more, and the Customer Organization is responsible for using electronic signing only where it is appropriate.
9. Payments Between Residents and Customer Organizations
When a Customer Organization turns on online payments, they are processed by Stripe and paid to that Customer Organization's own Stripe account, under Stripe's terms. MyRentalMate does not hold those funds. The Customer Organization is responsible for its charges, refunds, disputes and fees, and for its account with Stripe. Questions about a balance or a payment should go to the Customer Organization.
10. Subscriptions and Fees
Customer Organizations use the Service on a subscription. Plans, fees and billing terms are set in the order form or agreement between the Customer Organization and MyRentalMate. Except where the law requires otherwise, fees are non-refundable. We may suspend access if fees go unpaid. Portal Users are not charged by MyRentalMate for using the Service, though a Customer Organization may charge them its own fees, such as an application fee.
11. Customer Data
As between MyRentalMate and a Customer Organization, the Customer Organization owns its Customer Data. It grants MyRentalMate a non-exclusive license to host, process, transmit and display Customer Data as needed to provide, secure and support the Service, as our Privacy Policy describes. We may reach a Customer Organization's records for support only through a time-limited, logged support session.
12. Third-Party Services
The Service works with other companies' services, such as Stripe for payments and email and hosting providers. A Customer Organization may also connect a tenant screening provider. Those services have their own terms and privacy policies, and we are not responsible for what they do.
13. Intellectual Property
MyRentalMate and its licensors keep all rights in the Service, including its software, designs and trademarks. No rights are granted except the license above. We may use any feedback you give us without restriction or payment.
14. Suspension and Termination
A Customer Organization may end an Authorized User's or Portal User's access at any time. MyRentalMate may suspend or end access for a material breach of these Terms, non-payment, a security risk, or as an agreement allows. Sections that by their nature should continue after termination will continue, including those on Customer Data, intellectual property, disclaimers, limitation of liability, indemnification and governing law.
15. Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE AND NON-INFRINGEMENT. MYRENTALMATE DOES NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE OR SECURE, THAT ANY TEMPLATE OR CALCULATION IS ACCURATE OR LEGALLY SUFFICIENT FOR YOUR SITUATION, OR THAT ANY INFORMATION ABOUT A PROPERTY, APPLICANT OR RESIDENT IS CORRECT.
16. Limitation of Liability
TO THE MAXIMUM EXTENT THE LAW PERMITS, MYRENTALMATE AND ITS SUPPLIERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE, DATA, BUSINESS OR GOODWILL, ARISING FROM THESE TERMS OR THE SERVICE, EVEN IF ADVISED THEY WERE POSSIBLE.
MYRENTALMATE'S TOTAL LIABILITY ARISING FROM THESE TERMS OR THE SERVICE WILL NOT EXCEED THE GREATER OF THE AMOUNTS THE APPLICABLE CUSTOMER ORGANIZATION PAID MYRENTALMATE FOR THE SERVICE IN THE TWELVE MONTHS BEFORE THE EVENT, OR ONE HUNDRED U.S. DOLLARS ($100). Some places do not allow these limits, so some may not apply to you.
17. Indemnification
You agree to defend and indemnify MyRentalMate and its officers, employees and agents against claims, losses and expenses (including reasonable attorneys' fees) arising from your breach of these Terms, your violation of a law or another person's rights, or Customer Data you or your Customer Organization submitted. For a Customer Organization, this includes claims arising from its screening, leasing, collection or eviction decisions and its dealings with residents and owners. This section does not limit rights a consumer has by law.
18. Governing Law and Disputes
These Terms are governed by the laws of the State of Georgia, without regard to its conflict of laws principles. Any dispute arising from these Terms or the Service will be resolved only in the state or federal courts located in Atlanta, Georgia, and you and MyRentalMate consent to those courts' jurisdiction.
19. Changes to These Terms
We may update these Terms. When we make a material change, we will update the "Last updated" date on this page and, where appropriate, tell you in the Service or by email. If you keep using the Service after a change takes effect, you accept the updated Terms.
20. General
These Terms, with any agreement between your Customer Organization and MyRentalMate, are the entire agreement between you and MyRentalMate about the Service. If a part is found unenforceable, the rest stays in effect. Not enforcing a right is not a waiver of it. You may not assign these Terms without our written consent. We may assign them as part of a merger, acquisition or sale of assets.
